Band Asset Manager (BAM) is a database specifically designed to record Band membership and assets, including details of assets issued to members, and tracking the history of each asset.

Reports are available detailing issue history of individual assets, and detailing all assets issued to individual members. Members may be identified and sorted by types and categories of membership. 

Membership fees or instrument hire fees may be loaded against each membership type with automatic advice when membership fees are due. Member attendances may be recorded and reported through a mobile application. 

BAM also provides a central repository for digital storage of music and important documents.

As part of a brass band and in fact any band there is always a lot of admin involved. When I first got involved with Matamata Brass, I took on the roll as instrument custodian, and carried on with the system from the previous member. The system that we used was Microsoft Access, it also handled our membership data base and if you have never used it before it can be a bit daunting. The uniform data base was taken care of by another member with an Excel spread sheet, and the music was taken care of by the librarian on One drive. When any one of these roles were taken over by someone else, getting access to that information can become a bit of a challenge and everyone had different ideas of how to do it. After searching for a system to take care of it all I came across Band Asset Manager. Band Asset Manager has been an absolute marvelous piece of software, that has enabled us to keep all our admin in one place i.e. member management, instrument inventory, uniform inventory, music inventory, document storage. The best part of this system is you can access it from any computer or smart phone, it doesn’t matter who has the job of looking after certain parts of the band, all they need is to be given access to one system and It is very user friendly. This was all made possible with funding from Pub Charity.

BAM is a fantastic tool to hold and catalogue digital music libraries. It's easy to navigate and the search functions makes finding music very streamlined. The upload and download process of music is also very easy and accessible. I would recommend BAM over other cloud servers that that I have used which can be clunky and difficult to navigate.

Is our data safe?

Data Backups: Your BAM application is backed up and protected online in the cloud. Our servers keep daily backups of the application & can be restored within minutes. Our online storage means you can log in from any device with an internet connection and you're good to go.

Data Security: BAM stores your data securely in enterprise graded hosting facilities– and control who has access to the application. All our servers and data centres have robust security controls, as well as 24/7 monitoring. We encrypt all data that goes between you & BAM. We do regular data security on the servers & the application.

Who has access to our information?

User authorities can be set so that users can access only the parts of the programme relevant to their member role.

Can we customise details to suit our own situation?

Is help available to get us organised and running?

Yes. Initially we will discuss your requirements and suggest suitable setup solutions, and then initial assistance will be provided to assist your superuser become familiar with the programme. Additional assistance may be available at an additional cost to assist with bulk uploading of data.

How de we load our library into BAM?

Music can be scanned as sets or individual parts and stored in BAM. When copies are required individual or full sets can be printed or played from tablet or other electronic devices.

New music should be purchased as electronic copies so that it is ready to be filed within BAM. Ordering electronic copies is quicker and cheaper than ordering paper music.

How will we identify our various instrument & uniform assets?

Instruments usually have manufacturers serial numbers imprinted on them. In the rare case that an instrument does not have a manufacturers serial number you‘ll need to assign a unique identification number. You’ll need to allocate each item of uniform with a unique identification number and mark it on the item. Our consultant can help with some suggestions on how to achieve this.

Do Charitable Grant Authorities recognise Band Asset Manager for funding purposes?

We can’t speak for all funding bodies, but those bodies who fund instruments and uniforms will usually consider applications to cover the cost of Band Asset Manager. Our consultant can assist with details appropriate for your funding application if required.
